- POSITION OVERVIEW
Seeking a full-time Office Manager & HR Administrator to support day-to-day office operations, administrative functions, and human resources administration. The ideal candidate will be highly organized, personable, detail-oriented, and capable of managing multiple priorities while providing exceptional customer service to employees and visitors. This position serves as the primary point of contact for office operations while also supporting the employee lifecycle, benefits administration, and HR processes.
- ESSENTIAL DUTIES AND RESPONSIBILITIES
- Office Management & Administrative Support
- Handle all incoming calls and direct them to the appropriate individual.
- Greet customers and employees who visit the office.
- Notify the appropriate individual when a visitor or vendor has arrived.
- Maintain a smooth operating facility by responding to employee facility requests and coordinating with building management.
- Coordinate with the IT department regarding office equipment and employee technology requests.
- Maintain cleanliness and organization of break rooms and common areas.
- Order and maintain office supplies and other workplace inventory.
- Assist with meeting setup and breakdown, including receiving, arranging, and removing catering and meeting materials.
- Provide general office and administrative support, including typing, transcription, file maintenance, scheduling meetings, handling inquiries, reserving conference rooms, and other office support functions.
- Partner with Human Resources to update and maintain office policies and procedures as needed.
- Perform additional administrative duties as assigned.
- Demonstrate strong oral and written communication skills while maintaining a courteous, professional, and customer-focused approach.
- Human Resources Administration
Hiring & Employee Services
Organize, manage, and prepare new hires for onboarding while working with management to ensure a smooth and efficient onboarding experience. Responsibilities include:
- Scheduling new hire orientation.
- Reviewing new hire paperwork for completeness and accuracy and submitting required documentation to the appropriate entities.
- Coordinating with hiring managers to identify equipment, building access, and technology needs.
- Submitting requests to IT and Building Management for laptops, mobile devices, email accounts, badges, and other access requirements.
- Processing new hire information to establish employee accounts in ADP, Kelly Benefits, and other company systems.
- Maintaining and filing personnel documentation and managing electronic employee records.
Coordinate employee offboarding activities while working with management to ensure a smooth separation process. Responsibilities include:
- Scheduling exit interviews.
- Coordinating the return of company-issued equipment, including laptops, mobile devices, chargers, and other assigned assets.
- Coordinating with IT and Building Management to remove network, email, system, and building access.
- Processing employee terminations and maintaining separation documentation.
HR Administration
- Process HR employment transactions within ADP, Kelly Benefits, and other HR systems, including new hires, terminations, employee data changes, and FMLA administration.
- Maintain accurate electronic personnel files and employee records.
- Respond to unemployment claims and employment verification requests.
- Ensure HR documentation is complete, accurate, and maintained in compliance with company policies.
Benefits Administration
- Respond to employee benefit inquiries and provide guidance regarding available benefit programs.
- Assist employees with health insurance enrollment, qualifying life events, and leave benefit processes while ensuring required documentation is received.
- Provide guidance regarding benefits and leave programs based on employees’ primary work location.
- Coordinate with Kelly Benefits to resolve benefit-related issues.
- Assist with planning, communication, and administration of the annual Open Enrollment process.
- Provide administrative support for employee service and HR-related initiatives as needed.
III. REQUIREMENTS
Education
- Bachelor’s degree or Associate degree preferred.
Experience
- Five (5) or more years of office administration, office management, human resources, or related professional experience.
- Experience using Microsoft Outlook, Word, and Excel.
- Experience with HRIS systems (ADP preferred) and employee benefits administration is preferred.
